TOP-TFTPM: Team Position Document Maintenance

SCOPE: This procedure covers the maintenance of Trinity Forge Team Positions (TFTPs), the documents which detail the role, responsibilities and requirements* of each position on the Trinity Forge Team.

1 Any manager or supervisor As manager or supervisor deems necessary Own judgment Notify Training Coordinator of need to add, modify or delete a TFTP. Training Coordinator notified
2 Training Coordinator Upon receiving request TFTP change request Review advisability of TFTP change; if agree with request add, modify, or delete TFTP; email changes to TOPs Clerk. Agree/disagree
2a Training Coordinator When do not agree with proposal TFTP change request; own knowledge If do not agree with requested changes, negotiate with requestor; use President as arbiter if necessary to resolve differences. Differences resolved
3 Training Coordinator After decision made to change TFTP Details of decision Add, modify, or delete TFTP; email changes to TOPs Clerk. Modified TFTP sent to Tops Clerk
4 TOPs Clerk Upon receiving request Change request Create a draft of the revised TFTP; upload a draft of the TFTP to the internet; email the Training Coordinator with  link to the proposed TFTP.  Draft of team position provided for approval
5 Training Coordinator Upon Receiving link to drafted TFTP Draft of TFTP Review TFTP; compare current TFTP to proposed TFTP; if revision is acceptable, forward email to Human Resources Mgr. for final approval; if revision is not acceptable, contact TOPs Clerk for any additional changes. TFTP Reviewed and Approved; TFTP Forwarded to Human Resources Manager for Approval
6 Human Resources Manager Upon receiving e-mail from Training Coordinator Draft of TFTP Review TFTP;  if revision is acceptable, forward email to TOPs Clerk; if revision is not acceptable, contact Training Coordinator or TOPs Clerk for any additional changes TFTP reviewed and approved
7 TOPs Clerk After receiving emailed final approval from Human Resources Manager TFTP master(s); TFTP working master(s) Archive old TFTP and change "draft" of TFTP to official TFTP; prepare update for TOPs Manual appendices or introduction as necessary to reflect TFTP changes. TFTP file(s) updated; review and approval obtained
8 TOPs Clerk Upon completion of new TFTP Revisions Automatic notification of TOPs update; TFTP working masters Update TFTP revision history with noted changes in each TFTP; upload changed to the Internet  Prepare Statement of Release and route via e-mail to all employees with network access. Statement of Release published; updated TFTP uploaded to the Internet
9 Anyone (especially managers or supervisors) Upon receiving TFTP Statement of Release TFTP Statement of Release; own judgment Review TFTP change(s) to determine who, if anyone, in department needs to be aware of the change and inform them as appropriate. All team members kept apprised of TOPs changes affecting their jobs
10 Training Coordinator Upon receiving TFTP Statement of Release TFTP changes Review for any Training Modules that may be affected by any changes to TFTP (see TFTMM). Review made for any Training Modules that would be affected by the changes

* Requirements for experience, education and training are cited in TFTPs where such requirements exist. The Training Coordinator is authorized to allow substitutions of experience for education, and so forth, provided such substitutions are documented in the personnel file.
