TOP-TRECS: TRAINING & EXPERIENCE RECORDS

SCOPE: This procedure covers the tracking of individual team members' training and experience versus the needs of the various team positions. It hinges on the Trinity Forge Team Position (TFTP) and Trinity Forge Training Module (TFTM) documents. 

 
STEP WHO WHEN INFO TO USE WHAT TO DO RESULTS
1 Human Resources Manager, Training Coordinator As new team members are hired or re-assigned Application, resume, other background records, TFTPs, TFTMs Decide what background achievements will be accepted for what education and record in the Personnel File, Team Member Training File and Training Matrix determine what training will be required immediately (note: regardless of position, all new team members must fulfill the training requirements of TFTP-TMTR). Updated Personnel, Team Member Training Files and Training Matrix
2 Team member's Supervisor or Manager with Training Coordinator As identify special training needs for individual team member* Personal observation or objective evidence, Training Records, Employee Review Identify specific training needs of the team member; work together to tailor a specialized training program for the team member's needs. Individual training program; if appropriate, updated Team Member Training File
3 Training Coordinator As team members receive training Training Record; Training Matrix; Training Files Verify and record ongoing training achievements for each team member; verify that all training records clearly show who received training, who provided it, when it was provided and what material was covered; scan each Training Record;  update Training Matrix. Training Records complete except for effectiveness review
4 Training Coordinator Per training effectiveness review plan (possibly immediately after step 3) Training Record; Training File; employee performance review Determine the effectiveness of the training based on employee probationary or annual performance review; if training has not proven effective, determine what steps are necessary to improve employee performance; plan remedial action and record how training effectiveness was measured on Training File; file Training Record. Effectiveness of training determined; remedial action taken;  effectiveness recorded in Training File

* Special training needs are routinely considered as team members complete training modules and also as they receive probationary and annual reviews.
